Overview
CV Gudang Interior sells and installs interior products from several branches. Every sale triggers operational costs that must be paid and accounted for: courier shipping, installation by craftsmen, and transfers of goods between warehouses.
The challenge
Those costs were tracked in chat threads and spreadsheets. Finance could not easily tell which costs belonged to which sales invoice, whether a vendor or craftsman had already been paid, or whether the numbers had been checked.
What I built
- Three cost ledgers — shipping (vendors), services (craftsmen), and inter-warehouse transfers — each linked to one or more sales invoices with amounts and remarks, plus the accounting journal ID.
- A verification flow — entries move from recorded to checked, paid (with payment date and full/partial status), checked after payment, and done, so nothing is paid twice or forgotten.
- Multi-branch control — merchants and a head office, role-based access, and a monthly dashboard filterable by branch.
- Back-office essentials — vendor and user management, soft delete with trash and restore, an activity log, and Excel exports for the accounting team.
Results
Finance gets one place to see what each sale really cost, what is still unpaid, and what has been verified — ready to hand over to accounting at month end.
